1. Minimum:  All classes require a minimum number of students to be offered.  If the minimum is not met by the registration deadline, the class will be canceled and your child will be enrolled in the alternate class specified on your pre-registration form. You will be notified and asked to send in payment for the alternate class. Your check for the cancelled class will be shredded, unless you request that it be returned to you.

2. Maximum:  All classes have a maximum number of students allowed. If a class roster has reached its maximum number of students, this may cause your child to be wait listed for the class, because classes are filled on a first come, first serve basis. Names are only placed on the enrollment roster after all checks and permissions are properly completed and received.

3. Payment:

  • Checks are to be made payable to the instructor or company offering the class as listed on the course list packet or the "Class Information" webpage.
  • A separate check (made payable to the instructor or after school program provider) is needed for each student and each class. Write the child's name and class in the memo line of the check.
  • Bounced checks are subject to the individual vendors' policy.
  • NO CHILD IS CONSIDERED ENROLLED IN A CLASS UNTIL PROPER PAYMENT IS RECEIVED.  STUDENTS WITH TIMELY PAYMENT WILL BE GIVEN PRIORITY OVER STUDENTS WITH LATE, INCORRECT OR NO PAYMENT, so please turn your payment in the day after you register online.
  • Refunds:  NO refunds will be given after the registration deadline unless the class is canceled or the class maximum has been exceeded.
  • Scholarships:  Money is available to sponsor students who qualify.  Only one class selection per session will be sponsored for each child who qualifies. Contact the school counselor, Amy Moorman aAmy.Moorman@lakotaonline.com, to request a scholarship. Include the child's name, grade, and desired class in body of the message to request a need-based scholarship. The PTO will provide up to TWO scholarships during each After School Enrichment Program session (Fall session; Winter session) for students with financial hardship. Each child who needs financial assistance in order to participate is eligible to receive ONE class per year. (Regular registration policies and deadlines apply.) If more than two students are requesting scholarships, new students who have NOT previously participated in After School Enrichment classes will be given first priority.

4. Pickup:

  • An adult must come to the classroom to pick up and sign out your child.  We cannot send them out the door alone or with another child, unless you indicated on your registration that your child has your permission to walk home!  The adult must be a parent/guardian or an adult you have designated on the registration form as an allowable pickup person.
  • Parents are responsible for picking up their child on time at the end of each class.  Please be sure to check what time your child's class ends.  All classes do not end at the same time.  If you are picking up your child late, please remunerate the instructor $5 for every 15 minutes you are late.

5. Releasing Students:

An After School Release Report is sent to all the Adena homeroom teachers, informing them of all their students who have permission to remain after school on days their class meets. This takes the place of a handwritten note or additional After School Release Form from you.

6. Notification:

  • You will receive notification that your child is enrolled in a class if you have provided us with a valid e-mail address during pre-registration. Check your SPAM folder if you do not receive an e-mail within 10 minutes of submitting your registration.
  • Reminder: Students are not enrolled in a class until checks are received and properly filled out.
  • All provided information will be shared with the vendor for the registered class.

7. Cancellations:

In case of a snow day, or class cancellation for any reason, classes will be made up on the scheduled makeup day. In the event that an after school class is cancelled on a day that your child is already at school, parents will be called and children will be sent home on the bus. For your child’s safety, prior provisions need to be made by the parents, informing the child what to do.

8. Release:

Parents signing up their child hereby agree that Adena Elementary PTO and the vendors/instructors providing After School Program classes shall not be liable for any injury which their child(ren) may sustain while participating in Adena After School Enrichment Programs, and agree to indemnify and to hold harmless Adena Elementary PTO and the vendors/instructors for these classes from any claim whatsoever. Their heirs, executors and administrators waive, release and forever discharge Adena Elementary PTO and its staff, officers, agents, employees, representatives and successors and assigns of and from all rights and claims from damages, injury or loss to a person or property which may be sustained or occur while participating in the Adena After School Enrichment Program, whether or not damages, injury, or loss is due to negligence.
